Privacy Policy

It is the policy of the Commonwealth of Virginia that personal information about citizens will be collected only to the extent necessary to provide the service or benefit desired; that only appropriate information will be collected; that the citizen shall understand the reason the information is collected and be able to examine their personal record which is maintained by a public body.

This website:

  1. It does not require you to provide any personal information to download files.
  2. Requires you to provide personal information in order to provide services requested by you.
  3. Personal information collected is safeguarded in compliance with the laws of the Commonwealth of Virginia and federal law as stated in the Family Education Rights and Privacy Act (FERPA).
  4. Information you provide is only used to provide requested services and for internal statistics. Your personal information will not be provided to any other organization outside the guidelines of the Family Education Rights and Privacy Act (FERPA).
  5. Should you not desire to provide this personal information, we will be unable to provide you some of the services which we offer online.
  6. Certain applications collect user information as cookies. Cookies are only used as necessary to run the applications and no additional information is gathered through them.
  7. Links from this site may lead to a page that may or may not collect data, which does not have a relationship to the college. Refer to the privacy policy of any non-college pages accessed through links.
  8. Access to personal information you provide is limited to those who require the information to provide the services you request and for educational purposes outlined under the guidelines of the Family Education Rights and Privacy Act (FERPA).
  9. For statistical reporting, the webserver logs information about your IP address, browser, date and time of visit, and IP addresses accessed during your visit. This information is only used to assess demands and usage for planning purposes.
  10. If you wish to review your personal information collected through this website, you may submit a written, signed request to the college's webmaster.

Notification of Rights Under FERPA

The Family Educational Rights and Privacy Act (FERPA) affords students certain rights with respect to their education records. They are: The right to inspect and review the student’s education records within 45 days of the day the College receives a request for access.

  1. Students should submit to the Director of Admissions and Records, Provost, Division Chair, or other appropriate official, written requests that identify the record(s) they wish to inspect. The College official will make arrangements for access and notify the student of the time and place where the records may be inspected. If the records are not maintained by the College official to whom the request was submitted, that official shall advise the student of the correct official to whom the request should be addressed.
  2. The right to request the amendment of the student’s education records that the student believes are inaccurate or misleading.

    Students may ask the College to amend a record that they believe is inaccurate or misleading. They should write the College official responsible for the record, clearly identify the part of the record they want changed, and specify why it is inaccurate or misleading.

    If the College decides not to amend the record as requested by the student, the College will notify the student of the decision and advise the student of his or her right to a hearing regarding the request for amendment. Additional information regarding the hearing procedures will be provided to the student when notified of the right to a hearing.

  3. The right to consent to disclosure of personally identifiable information contained in the student’s education records, except to the extent that FERPA authorizes disclosure without consent.

    One exception which permits disclosure without consent is disclosure to school officials with legitimate educational interests. A school official is a person employed by the College in an administrative, supervisory, academic or research, or support staff position (including law enforcement unit personnel and health staff); a person or company with whom the College has contracted (such as an attorney, auditor, or collection agent); a person serving on the College Board or a student serving on an official committee, such as a disciplinary or grievance committee, or assisting another school official in performing his or her tasks.

    A school official has a legitimate educational interest if the official needs to review an education record in order to fulfill his or her professional responsibility.

  4. The right to file a complaint with the U.S. Department of Education concerning alleged failures by Southside Virginia Community College to comply with the requirements of FERPA. The name and address of the Office that administers FERPA is:

Directory Information

Southside Virginia Community College hereby designates the following categories of student information as public or “Directory Information.” Such information may be disclosed by the institution for any purpose at its discretion.

Category I: Name and dates of attendance.

Category II: Previous institution(s) attended, major fields of student, awards, honors (including Honors and Provosts’ List), degree(s) conferred (including dates).

Category III: Past and present participation in officially recognized sports and activities, physical factors (height, weight of athletes), date of birth.

Currently enrolled students may withhold disclosure of any category of information under the Family Educational Rights and Privacy Act of 1974, as amended. To withhold disclosure, written notification must be received prior to October 15 in the Office of Admissions and Records at Southside Virginia Community College, Alberta, Virginia, or Southside Virginia Community College, Keysville, Virginia. Forms requesting withholding of “Directory Information” are available in the Admissions and Records Office.

Southside Virginia Community College assumes that failure on the part of any student to specifically request the withholding of categories of “Directory Information” indicates individual approval for disclosure.
 

Students Can Set Privacy on their Student Records

  1. Go to the Southside Virginia Community College MySVCC site.
  2. Log-In to this site.
  3. Click on the VCCS SIS Student Information System link.
  4. Go to the Student Center.
  5. Click the User Preferences link.
  6. Click on the link for ferpa restrictions.
  7. Click the box labeled "Edit FERPA/Directory Restrictions".
  8. You will see various types of information located here.  If there is anything that you would like to be withheld from outside organizations, please click in the box beside each item to select them and click Save at the bottom of the page.  

Additional Note:  Once you have restricted access to your information following the steps above.  SVCC will not release those restricted items without written permission from you to do so.
